Integrity First: Communication and Negotiation Regarding an Order for High-Frequency Transformers

As the first rays of morning sunlight streamed into the office, our workday began amidst a busy rhythm. Inquiries kept pouring in by phone, each customer filled with anticipation for our products. Today, one customer showed strong interest in our EE19 (3+3) vertical high-frequency transformers. They urgently needed ready stock and had clear expectations regarding quality and delivery time.

After understanding the customer’s required quantity as well as their expectations for quality and delivery, we realized there was a gap between their urgent needs and our production capacity. The customer hoped for immediate delivery, but the quantity they needed did not meet the Minimum Order Quantity (MOQ) for our raw material procurement.

Following a thorough assessment, we decided to uphold integrity as our principle and honestly explain our actual situation to the customer. We clarified that the production cycle for high-frequency transformers—from preparing materials like cores and bobbins to completion—takes approximately 7 to 20 days. Additionally, our production management department schedules production based on the order sequence and the urgency of each customer’s needs, which also requires 7 to 20 days. Therefore, even under the most optimal conditions, the fastest delivery would still take about 7 to 14 days.

We further explained that for larger orders, we can arrange production plans more efficiently and use automated equipment to boost productivity—such as employing multi-axis winding machines for bobbin winding. However, for smaller orders, using automated equipment is not economically viable due to the high cost of machine setup.

In the end, we engaged in friendly negotiations with the customer and agreed to explore potential cooperation again when a more suitable opportunity arises in the future. My personal principle in order-taking is simple: I never promise what I cannot deliver. In business partnerships, clear communication and mutual understanding are the foundation of providing quality service. We look forward to meeting our customers’ needs with more thoughtful service in future collaborations.
